Policy Document
1. Overview
The General Aviation Council of Hawaii respects the privacy of members, donors, partners, and visitors who use this website. This policy explains the types of information we may collect, how that information may be used, and the choices available to users regarding that information.
2. Information We Collect
We may collect information that you provide directly through registration forms, membership applications, newsletter signups, payment workflows, event registrations, contact forms, and other interactions with the site.
This may include your name, email address, mailing address, phone number, aviation-related profile information, membership selections, payment-related metadata, and any other information you choose to submit.
If you submit a Pilot Data Report, we may collect the report details you provide, including airport or facility information, issue categories, dates, supporting documents, requested actions, and follow-up preferences.
3. How We Use Information
Information collected through the site may be used to administer memberships, process purchases or subscriptions, communicate council updates, respond to inquiries, support events and programs, improve the website experience, and maintain the security and integrity of member services.
We may also use contact information to send operational notices, aviation-related updates, newsletters, and information about GACH activities, subject to applicable preferences and opt-out controls.
Pilot Data Report submissions may be used to review community concerns, identify trends, prioritize advocacy, coordinate follow-up, and maintain internal records related to aviation issues affecting Hawaii.
4. Sharing of Information
We do not sell personal information. Information may be shared with service providers and vendors who help us operate the website, manage communications, process payments, host infrastructure, or support membership operations, but only to the extent reasonably necessary for those functions.
Information may also be disclosed if required by law, to protect the rights or safety of GACH or its users, or as part of organizational administration and recordkeeping.
5. Service Providers and Third-Party Tools
The site may rely on third-party providers for services such as payment processing, newsletter delivery, event calendars, hosting, security, email delivery, embedded media, and other operational tools. These providers may process information as needed to provide their services.
Payment details are handled through payment processors and are not intended to be stored directly by GACH on this website. Newsletter providers may process subscription information and unsubscribe preferences.
6. Cookies and Similar Technologies
The website may use cookies and similar technologies to keep the site secure, maintain sessions, support login functionality, remember preferences, process forms, and understand basic site performance.
Some third-party tools embedded in or linked from the site may use their own cookies or tracking technologies. You can control many cookies through your browser settings, but disabling essential cookies may affect login, forms, checkout, or other site features.
7. Data Retention and Security
We retain information for as long as reasonably necessary to support memberships, legal obligations, operational records, and legitimate organizational purposes. We take reasonable steps to protect submitted information, but no internet-based system can guarantee absolute security.
8. Your Choices
You may contact us to request updates to your account information, ask questions about stored data, or request removal from future communications where applicable. Some records may need to be retained for administrative, legal, or financial reasons.
